This is the privacy notice relating to the CMS Find your balance competition at www.cmsfindyourbalance.co.uk . The website is operated by RMP Enterprises Ltd. 

This notice sets out how we use the personal information you provide to us on the website and any further information you give us in relation to the competition (including proof of your eligibility under the competition terms and conditions). 

We are the controller of that personal information when it is used by us for the purposes of running the competition.

CMS is an organisation separate from us. Their use of your information we provide to them is described in their own privacy statement, which you can see on their website here. CMS is the data controller in respect of its use of your information.

These are the purposes for which we use your information, and the legal basis on which we use it:

We will use your information to confirm your eligibility to enter the competition, and to process your entry. The legal basis for doing so is that it is necessary in order to provide you with the service of processing your entry, in accordance with the competition terms and conditions available here. It is also in our legitimate interests and those of CMS and all entrants to provide for the smooth running of the competition.

We will evaluate your entry against the criteria referred to in the competition terms and conditions to decide the winner of the prizes. The legal basis for doing so is that it is necessary in order to provide you with the service of processing your entry, in accordance with the competition terms and conditions. It is also in our legitimate interests and those of CMS and all entrants, to provide for the smooth running of the competition.

If you are a winner, we will use your email address and phone number to notify you. The legal basis for doing so is that it is necessary in order to provide you with the service of processing your entry.

If you are the winner of the Work-life balance bundle, including a mentoring session with a partner, we will forward your email address and phone number to CMS so that they can arrange a suitable time. The legal basis for doing so is that it is necessary in order to provide you with the service of processing your entry in accordance with the competition terms and conditions.

If you are a winner, we will publish your first name and your geographical region. The legal basis for doing this is that it we are required to do so as a regulatory obligation applicable to prize promotions.

If you are a winner, and you consent, your name, an overview of your idea and the supporting image will be shared with CMS  so that that may be published on the CMS Instagram, Linkedin and Facebook pages and other publicity or promotional material. CMS may with your consent also include you in its other publicity or promotional material. The legal basis for doing this is your consent.

If you have consented to it, we will pass your information to  CMS regarding your university course , your name and contact details to CMS so that they can use it for the purposes set out in their privacy notice – including determining which information is appropriate for you in relation to its schemes, and sending you that information by email. If you are a winner, and you consent to it, CMS may include you in its publicity or promotional material. 

If you are a winner, we may need to pass your information to the prize provider to enable you to receive it.  The provider may also be a data controller and will notify you of its own Privacy Notice if so.

We will delete your personal data after a period of 30 days after the closing date of the competition. If you have opted into CMS’ talent pool, they will retain your information for the period referred to in the CMS Privacy Notice

We use third party service providers to help us run the competition: 

Integrate (see Integrate-events.com for further details) helps us provide the web form on which you make your entry into the competition. 

Instiller (see instiller.co.uk for further details)  to help us communicate with you via email.

We have appropriate security measures in place to prevent personal information from being accidentally lost, used or accessed in an unauthorised way. We limit access to your personal information to those who have a genuine business need to know it. Those processing your information will do so only in an authorised manner and are subject to a duty of confidentiality. We also have procedures in place to deal with any suspected data security breach. We will notify you and any applicable regulator of a suspected data security breach where we are legally required to do so.

Your rights

  • object in certain other situations to our continued processing of your personal information

  • otherwise restrict our processing of your personal information in certain circumstances
